Privacy Policy

1. Who we are and what this policy covers

[Legal entity name] (“Triakor”, “we”, “us”) builds and delivers AI-based software products and AI solutions for businesses. We are registered in India, with GSTIN 33AANCT4614K1Z4 and our registered office at [Registered address, Tamil Nadu, India].

This policy explains what personal data we collect, why we collect it, how we protect it, and the choices and rights you have. It applies to:

  • our website and its contact and “Notify me” forms;
  • our software products, including Entrito, Marvixo, Karpix, Kirnats, Colasta, Ignitron, Oratre, Krugine and Pattia (the “Products”);
  • our AI consulting, development, integration and managed services (“Triakor Agency” services); and
  • our communications with you by email, phone or messaging.

A product may also have its own privacy notice that adds detail for that product. Where the two differ, the product notice applies to that product.

Under India's Digital Personal Data Protection Act, 2023 (the “DPDP Act”), Triakor is the Data Fiduciary for personal data we decide how to use. Section 5 explains when we act only on a business customer's instructions instead.

2. Information we collect

We collect only what we need for the purposes in Section 3.

3. How we use your information, and on what basis

We use personal data with your consent, or for a “legitimate use” the DPDP Act allows, such as data you share voluntarily for a specific purpose or what the law requires.

Withdrawing consent. You can withdraw consent at any time, as easily as you gave it: use the unsubscribe link in our emails, change the setting in your account, or email support@triakor.com. Withdrawal doesn't affect anything we did before it. Once you withdraw, we stop that processing, unless the law requires us to continue. We also don't sell your personal data.

4. AI features and your data

Our Products and Agency solutions use artificial intelligence. Here is how we handle data in those features.

  • No training on your content without permission. We do not use your uploaded content, prompts or AI outputs to train or fine-tune AI models unless you or your organisation have agreed to it in writing, or turned on a setting that clearly says so.
  • Outside AI providers. Some features may send your inputs to third-party AI model providers to generate a response. Those providers act on our instructions under contracts that limit how they use the data and require them to protect it. They are listed in [link to service-provider list].
  • Voice and images. Features such as Krugine (Voice Engine) process voice recordings, and some Products process images. We use these only to deliver the feature you asked for, and only with your consent. Upload only recordings or images that you have the right to use, including the consent of anyone whose voice or likeness appears.
  • Outputs can be wrong. AI-generated content can be inaccurate or incomplete. Review it before relying on it, especially for important decisions.
  • Human oversight. We do not make decisions that have legal or similarly significant effects on you based solely on automated processing without human review. Where an AI agent takes actions for a customer, it works within permissions that customer has approved.
  • Safety monitoring. We may review AI inputs and outputs, with access limited to authorised staff, to detect misuse, investigate problems and keep our services safe.

5. Customer data in our Products and Agency projects

Sometimes we process personal data on behalf of a business customer. Examples are their employees, students, candidates or end customers, or records in the systems we connect for them. In those cases the business customer decides how that data is used, and we act as its Data Processor. We:

  • process that data only to provide the agreed service, and only on the customer's documented instructions;
  • keep it confidential and protect it with the safeguards described in Section 6;
  • don't use it for our own purposes, including AI training, unless the customer has agreed in writing; and
  • delete or return it when the contract ends, unless the law requires us to keep it.

If your data is in a system we run for one of our customers, please contact that organisation first about your rights. We will help them respond.

6. Sharing, transfers, retention and security

Who we share data with. We share personal data only:

  • with service providers who help us run our business, such as cloud hosting, email delivery, payments, analytics, customer support tools and AI model providers. They act on our instructions under contract. The current list is at [link];
  • with your organisation, if you use a Product through an account it manages;
  • with professional advisers, such as auditors and lawyers, under confidentiality;
  • when the law, a court or a government authority requires it, or to protect the rights, safety or property of Triakor, our users or others; and
  • with a buyer or successor if our business is merged, acquired or reorganised, in which case this policy continues to protect your data.

International transfers. Some service providers may store or process data outside India. We transfer data only to countries that Indian law permits, and we require the same level of protection there.

How long we keep data. We keep personal data only as long as we need it for the purpose it was collected, or as the law requires:

DataHow long we keep it
Enquiries that don't lead to an engagement[24 months] from our last contact
Waitlist sign-upsUntil launch plus [6 months], or until you unsubscribe
Account and Product contentWhile your account is active. Deleted within [90 days] of closure, except backups, which roll off within [35 days]

Security and access logsAt least 1 year, as required by the DPDP Rules

If you stop using a Product for a long time, we may delete your data after telling you at least 48 hours in advance, unless the law requires us to keep it.

Security. We use reasonable technical and organisational safeguards. These include encryption in transit and at rest where supported, access controls based on job role, multi-factor authentication for staff, logging and monitoring, regular backups, and contracts that require our service providers to protect your data. No system is completely secure, but if a personal data breach happens, we will notify the Data Protection Board of India and affected users as the law requires, and explain what happened and what we're doing about it.

7. Your rights

Under the DPDP Act you have the right to:

  • Access: get a summary of the personal data we hold about you, how we use it, and who we have shared it with;
  • Correction and updating: fix inaccurate or incomplete data, and update it;
  • Erasure: ask us to delete data we no longer need, unless the law requires us to keep it;
  • Withdraw consent at any time, as described in Section 3;
  • Grievance redressal: complain to us, and receive a response within the time the law sets; and
  • Nominate someone to exercise these rights for you if you die or become incapacitated.

To use any of these rights, email support@triakor.com or write to our Grievance Officer (Section 10). We may need to confirm your identity first. If you're not satisfied with our response, you can complain to the Data Protection Board of India.

8. Children's data

Our website and most Products are meant for people aged 18 or over. If a Product is offered to anyone under 18, we will get verifiable consent from a parent or lawful guardian before processing the child's data. We will not track a child's behaviour, monitor them in harmful ways, or target advertising at them. If you think a child has given us data without that consent, contact us and we will delete it.

9. Cookies and analytics

We use essential cookies to make our website and Products work, for example to keep you signed in and protect your forms from spam. With your consent, we also use analytics cookies to understand how our website is used, so we can improve it. You can accept or reject non-essential cookies in our cookie banner and change your choice at any time. You can also block cookies in your browser, but some features may then not work.
